    To support Ten Rep Leasing Agents in sustaining a portfolio of highly satisfied customers while serving as a valued member of a high performing team and company.

    • Bachelor's Degree Preferred
    • Advanced knowledge of MS Word, Excel, PowerPoint
    • Experience with SalesForce, InDesign, HubSpot, Wordpress, Buildout, CoStar, LoopNet, Google Earth, and Constant Contact 
    • Document Management: Revise documents as directed by Brokers, including: RFPs, Lease comments, Sublease documents, Commission Agreements, Presentation Packages and Bios. Maintain deal files Prepare Lease Abstract for file
    • Salesforce: Maintain and update Salesforce database as needed. Update information as necessary. Prepare reports for export and mail merge as needed. Update broker pipelines through Salesforce and exporting pipeline report for monthly review by executive team
    • Direct Mail: perform mail merge for marketing letters
    • Marketing Materials: Create and maintain marketing materials for sublease listings, client requirements and broker flyers
    • Presentation Packages: Prepare marketing/presentation packages for new business meetings, including: market information, MRI marketing materials, exclusive representation letter with TREC form, transaction schedules, and any additional information as requested by broker. Maintain an up-to-date “sample” marketing package, including file names/locations of materials
    • Costar/Loopnet proficiency: Run reports for market information, space availability surveys, property tours and tenant prospecting. Maintain up-to-date listings for the brokers
    • Hubspot/Constant Contact: Send periodic email blasts to brokers/prospects. Review email for errors and changes before blasts are sent
    • Property Tours: Schedule property tours for Brokers. Assemble tour package, including: tour itinerary, Broker contact, Building information, Floor Plans and additional information as requested by Broker
    • Financial Analysis: Prepare proposal analysis and comparison using ProCalc or Costar software. Assemble financial package, including: proposal comparison, proposal analysis, proposal and floor plans.
    • Commission Invoices: Generate and track Broker’s commission invoices using ReApps
    • Buildout: Using Buildout software to maintain and update listings and  their respective flyers for the Moody Rambin website and Costar updates
    • Wordpress:  Maintain and update Moody Rambin website

    • Receptionist Duties
    • Maintain supply stock for the department. Order additional supplies as needed
    • Assist with set-up for Company events/presentations/Broker guests as requested
    • Prepare outgoing mail and packages
    • Schedule conference calls and send outlook calendar invites as requested
    • Prepare labels, tabs and folders for agents as needed
