  • Description:
      The FSM Administrative Assistant is responsible for delivering administrative and business support to managers and field staff (40+) within the Sales Department to facilitate high levels of productivity and effective process management; and lend general support for FSM Finance Group (14+).
     
    • Coordinate travel arrangements (domestic and international) and prepare itineraries and folders as needed.
    • Schedule meetings by booking conference rooms, ordering food, beverages and equipment as necessary.
    • Greeting & escorting the visitor(s) as needed
    • Fleet car coordinator
    • My Request (IT) for above mentioned staff
    • Coordinate and support groups with Purchase Request information
    • Fire Warden
    • Prepare expense statements and process invoices.
    • Records System Focal Point.
    • Provide assistance to staff on systems, e.g. Shell People, TM MSAP, and IT issues.
    • Open and organize incoming mail for GM
    • Coordinate and send departmental communications to staff, when needed.
    • Provide backup support to the other FSM Administrative Assistant and answer switchboard calls as backup for the Receptionist.
    • Coordinate facilities and administrative processes for new hires and internal move events.
    • Maintain and order office supplies.
    • Maintain and distribute contact lists / directories.
    • Ad Hoc Projects/other activities.
    • Co-coordinating office moves
    • Compose, edit and/or type correspondence on occasion.
    • Must have legal authorization to work in the US on a full-time basis for anyone other than current employer.
    • Minimum five (5) years of proven administrative assistant experience.
    • Proven ability to perform under pressure and capable of effective time management.
    • Proven communication skills (verbal and written) and able to establish productive relationships at all levels.
    • Ability to prioritize work and handle multiple tasks.
    • Must possess strong initiative and a solution orientation.
    • Strong Excel/PowerPoint/Word skills.
